OpenQuest Technologies (“DigiStay,” “we,” “our,” or “us”) provides SaaS-based hotel management solutions designed to streamline operations for hospitality businesses of every size. Access to the DigiStay platform is offered on a subscription basis, and this Refund Policy outlines the terms governing payments, cancellations, and refund eligibility.

By subscribing to any DigiStay plan or purchasing any add-on service, you acknowledge and agree to the terms set forth in this policy.

2. Free Trial & Demo

DigiStay offers complimentary product demos and limited-period trial access so that prospective customers can evaluate the platform before making a financial commitment.

• No payment information is required to start a free trial or request a demo.
• No charges will be applied during the trial period.
• At the end of the trial, you may choose to subscribe to a paid plan or discontinue use. There is no automatic billing upon trial expiry.

3. Subscription Payments

Subscription fees are billed in accordance with the plan you select at the time of purchase. DigiStay currently offers quarterly and annual billing cycles.

• All fees are quoted in Indian Rupees (INR) unless otherwise stated and are inclusive of applicable taxes.
• Payment is due at the beginning of each billing cycle.
• All subscription fees are non-refundable unless explicitly stated otherwise in this policy.

4. Refund Eligibility

We understand that circumstances may change. Refund requests may be considered under the following conditions:

• Annual Plans Only: A refund request must be submitted within 7 calendar days of your first payment for an annual subscription.
• The platform must not have been substantially used during those 7 days (e.g., no properties onboarded, minimal or no guest data processed).
• Quarterly plans are non-refundable under any circumstances.
• Refund eligibility is determined at DigiStay's sole discretion after reviewing account activity.

5. Non-Refundable Items

The following charges are strictly non-refundable, regardless of plan type or usage:

• One-time setup or activation fees
• Onboarding and training charges
• Custom development or feature-build fees
• Third-party integration and licensing fees
• Add-on module or feature purchases
• Any promotional or discounted plan charges

6. How to Request a Refund

To initiate a refund request, please send an email to [email protected] with the following details:

• Your registered business name and email address
• Subscription plan and billing cycle (quarterly / annual)
• Invoice number associated with the charge
• A clear description of the reason for your refund request

Our team will acknowledge your request within 2 business days and may reach out for additional information if needed.

7. Refund Processing Time

If your refund request is approved, the refund will be processed within 10 to 15 business days and credited back to the original payment method used at the time of purchase.

Please note that the actual time for the refund to appear in your account may vary depending on your bank or payment provider.

8. Cancellation Policy

You may cancel your DigiStay subscription at any time from your account dashboard or by contacting our support team.

• Upon cancellation, your access to the platform will continue until the end of your current billing period.
• No partial or prorated refunds will be issued for unused days remaining in the billing cycle.
• After the billing period ends, your account will be deactivated and data will be retained as per our Data Retention Policy.

9. Chargebacks

We strongly encourage you to contact our support team at [email protected] before initiating a chargeback or payment dispute with your bank or credit card provider.

Filing a chargeback without first attempting to resolve the matter with DigiStay may result in immediate suspension of your account. We are committed to resolving payment concerns promptly and fairly.

OpenQuest Technologies reserves the right to update or modify this Refund Policy at any time. Any changes will be reflected on this page with a revised effective date.

We recommend reviewing this policy periodically to stay informed about our refund practices. Continued use of the platform after changes are posted constitutes acceptance of the revised policy.
